Here’s how I keep it all moving…and still make it home for dinner: 1/ I use one central tracking system for everything ↳ One doc, one view. ↳ If it’s not in the tracker, it doesn’t exist. ↳ I update it daily and keep it brutally simple. 2/ I start every week with a 15-minute self check-in ↳ What’s behind? What’s on track? What’s at risk? ↳ If I don’t do this Monday morning, the week runs me instead of the other way around. 3/ I color-code by priority and risk ↳ Green means I don’t need to touch it. ↳ Yellow means it needs a check-in. ↳ Red means I need to escalate or unblock. 4/ I follow up with context, not just reminders ↳ “Just checking in” turns into “We need this by Friday to keep X on track.” ↳ People respond to clarity, not pressure. 5/ I keep a running weekly update for leadership ↳ 3 bullets: what moved, what’s stuck, and what I need help with. ↳ It keeps everyone informed without another meeting. Managing 10+ projects isn’t about multitasking. It’s about systems, focus, and momentum. You don’t need to know everything. You just need to know where to look…and what to move next. When people discuss reducing emissions in transportation, the conversation often focuses on electric trucks and alternative fuels. But there is a faster, cheaper way to cut emissions today - and it has nothing to do with new vehicles: The truth is, the logistics industry leaves vast efficiency untapped every year. Lorries travel half-empty. Vehicles run the same routes in parallel, heading for the same destinations, with little awareness of each other’s spare capacity. Every wasted mile contributes unnecessary carbon to the atmosphere. This is not, at its heart, a fuel problem. It's a problem of collaboration. The capacity exists, but it's invisible. Carriers often operate in isolation, unable to share their available space with others. The tools to solve this problem are already here. Digital collaboration platforms are beginning to make spare capacity visible and usable. In doing so, they are helping to cut emissions without the need for a fleet upgrade. By providing real-time visibility, continuous compliance checks, and integrated payments, they change how carriers interact with 3PLs. The results, when barriers fall away, are transformative. Consider a simple case: A 3PL in Manchester needs urgent capacity to Bristol. Their usual carriers are full. Yet dozens of qualified operators are already running that route with space unused. Four tools run a large share of my working life: Notion, Claude Cowork, Gmail, and Granola. The core idea is connectors. Through MCP, Claude Cowork can read the same email threads and meeting notes I do. A scheduled task turns that into a loop: it farms context from my inbox and my meetings, writes structured updates into Notion, and pings me or my collaborators when something needs attention. Every conversation you have enhances the collaborative surface area of the system, and the pings convert that surface area into accountability. I built this for my research lab first. The same architecture now tracks my personal reading list, credentialing renewals, conferences and CV updates, even case logs. Notion turned out to be the critical piece: it is malleable enough that Claude edits databases directly, so one pattern serves very different kinds of work. Short demo below. One recurring challenge we face is managing the flow of questions during projects or meetings. Here’s a common pain point—and a practical solution. 🔍 The Problem When working together, questions naturally arise. But when they come in waves—say, one every 30 minutes—it can feel like a never-ending dance. Repeated interruptions can lead to frustration and inefficiency. 💡 The Proposal Implement a shared Issues Log with periodic, predictable reviews. This simple tool can dramatically improve clarity, accountability, and meeting efficiency. The key is to review the open issues at least once weekly as a team - they know their issues will be reviewed and will want to get them resolved. 🗂️ Recommended Fields for Your Issues Log (see image below) Number: A quick reference ID for each issue Originator: Person or group who raised the issue—useful for follow-up Question: Must be clear and specific. Start with context (e.g., page or field), then ask the question Status: Open, in progress, or resolved. Use formatting to highlight open items Next Steps: Start with the date and responsible person, followed by the action Resolution: The final answer or decision To Be Answered By: Assigns responsibility—makes it easy to filter by person Date Opened: Tracks how long the issue has been active Date Resolved: Helps measure response time 📝 Usage Tips -Highlight updates in yellow when new info is added to “Next Steps” or “Resolution” -If a question is buried in a long sentence, highlight the key item in red to draw attention -Use filters to view only open issues or those assigned to a specific person -Never combine multiple issues in one row.
