    A unified virtual office isn't about connecting offices. It's about eliminating the concept of separate offices entirely. Your infrastructure should make geography invisible to your creative teams. I owe this insight to Danny Yoon, the creative director at Mr. Wolf, who helped me see what a "unified virtual office" actually means for creative teams when we spoke at the NAB Show conference last year. "It literally feels like we're all working in the same building even though we're spread across 4 cities." Here's the magic. At Mr. Wolf, when an artist in Vancouver renders a frame, it automatically appears on systems in NYC, LA, and Atlanta as it's being created. When someone in New York finishes a shot setup, their colleague in LA can instantly pick up where they left off. This isn't file sharing. It's operational unity and real-time collaboration. Artists see the exact same file system, regardless of location. With instant handoffs, work seamlessly transfers between team members across cities. And a unified virtual office means automatic redundancy. In the extreme case of their Vancouver office losing power, the LA team immediately continued the work.     Virtual Team Rooms ‘If you have a remote team, you can create a virtual team room using online tools. This works for hybrid and partially remote teams, too, but be careful: in-person conversations shut remote team members out. If some people are remote, the people working in person need to use the virtual team room for all their collaboration, too. A decision to use a virtual team room is a decision to act as if everyone is remote. Remote equipment and tools… Remote teams need an electronic version of the team workspace: - Videoconferencing software, such as Zoom, for real-time conversation - Messaging software, such as Slack, for asynchronous conversation - Virtual whiteboard software, such as Miro or Mural, for freeform, simultaneous collaboration - Collaborative versions of task-specific tools, where possible, such as Figma for UX and UI design - A document store, such as DropBox, Google Drive, or a wiki - Inexpensive tablets for collaborative whiteboard sketches - An additional monitor or tablet for videoconferencing, so people can see one another and work at the same time - For Delivering teams, collaborative programming tools, such as Tuple or Visual Studio Live Share, that support pairing or mobbing (see “Pair Programming” and “Mob Programming” for details) As with an in-person workspace, do not purchase Agile Lifecycle Management software or other tracking software. Designing remote collaboration Collaboration is easy when people are colocated. Achieving the same level of collaboration in a remote environment takes careful design. When your team establishes its working agreements during alignment chartering, make a point of discussing how you’ll collaborate. Remember that the goal is to maximize the performance of the team, not the individual. As work progresses, be sure to evaluate and improve your communication techniques frequently. I asked people who had experience with great in-person and remote collaboration experience for their remote collaboration tricks. There were several excellent suggestions: - Make time for personal connections. In-person teams form bonds of friendship and mutual respect, and this allows them to make decisions quickly and effectively. In a remote team, be sure to set aside time to socialize and keep up with each other’s lives. Options include virtual coffee breaks to help ease tension, a dedicated chat channel for greetings and personal updates as people arrive and leave their office, and a 30-minute call every day for chatting or playing games. One team made a habit of reserving the first 5–10 minutes of every meeting for socializing; people could either show up early to chat or just come for the content as their mood dictated.     We don’t go into Microsoft Teams Rooms (MTRs) to have meetings. We go into meeting and teaching spaces to get things done, to make progress, to acquire new knowledge. What does this mean for the room’s design? As technologists it’s tempting to confuse the medium with the message. It’s too easy to frame the questions that define space design as receptacles we’ll fill with vendors and their technologies. Microsoft talks about room personas, which is a great way of thinking in terms of the workflows and human activities that technology-enabled workspaces support (or are supposed to support). Honestly, day to day this part of the room design is often overlooked. Stakeholders and budget-holders can be unreliable witnesses in the specification processes as their experiences of the meeting rooms are different to users who walk cold into the room and need to get straight to work. This why Human-Centred Design (and AVIXA's forthcoming UX Design for AV that I'm co-writing) is so important. Meetings and teaching are performative events. We behave in these spaces in ways we wouldn’t elsewhere. We assume roles. Meetings are like church services: for a limited time we behave in certain ways, adopt common understandings. The army officer might lie awake at night consumed with imposter syndrome, but come the morning’s briefing both she and the brigade need her to play the part. Room design influences behaviours. High-backed chairs without arms or castors speak to the seriousness of the meeting about to take place. They stop the movements that are so distracting to remote participants. The room design can convey status and even power to remote participants in the way that configuration, finishes and VC cameras are combined, looking through the lens (literally!) of remote participants. This all speaks to the fact that room design is a process that has to be carefully curated, that the technology specification is an outcome of these processes - and not its driver. #microsoftteamsrooms #avtweeps #hybridmeeting #avusergroup #ltsmg #schoms
