AI productivity tools are real. These are 3 that deliver tangible leverage. In our world, leverage is everything. I am constantly testing new technology to find what actually works, not what is just a distraction. This is my current productivity stack. 1. Wispr Flow This is the most powerful voice-to-text automation I have used. It took my output from a 30-40 wpm bottleneck to 130 wpm. Its ability to handle accurate punctuation across all communications is a fundamental game-changer. 2. Fyxer AI An AI assistant directly connected to my inbox. It classifies all incoming email and, more importantly, drafts accurate replies for me. The company claims it gets you back an hour a day. I have found this to be accurate. 3. Lindy AI This tool allows non-technical people to build custom AI agents using simple prompts. This is key. You can automate any repetitive digital task. I use it for meeting prep, where it provides summaries of attendees and our past comms, and for post-call breakdowns, delivering clear topics and next steps. I teach Lean Management to high-performing teams for a living. But for a long time, my own office was the ultimate contradiction. I would stand in boardrooms explaining the power of 5S for operational excellence. Then I would sit at a desk buried in loose papers and digital clutter. I knew the theory perfectly, but I was failing to practice it in my own space. The mental friction was exhausting. I was wasting valuable brainpower just trying to find things. So, I decided to treat my own workspace like my biggest client. I applied the exact 5S framework I teach: 1️⃣ Sort, 2️⃣ Set in Order, 3️⃣ Shine, 4️⃣ Standardize, and 5️⃣ Sustain. The results were immediate. I quickly remembered that 5S is not about glorified housekeeping. It is about designing an environment that actually serves you. 🌟 Morale transforms when you walk into a calm, ready-to-work space every morning. ⏱️ Productivity spikes when you can find the exact file you need in under 10 seconds. 🧠 Mental clarity returns when your physical environment stops competing for your attention. Most people misunderstand 5S. They think it is just a corporate cleaning schedule. If you want to truly optimize your workspace, here are three unique Lean principles most people overlook: 🔍 5S is actually about "Anomaly Detection." ✅ A perfectly organized space makes out-of-place items visually scream at you. ✅ You spot missing files or broken processes instantly, long before they become actual problems. 🏷️ The psychological trick of the "Red Tag." ✅ We hold onto clutter "just in case." ✅ In Lean, we place a red tag on doubtful items and move them to a holding area. ✅ If you do not touch it in 30 days, it leaves. ✅ It completely removes the emotional stress of organizing. 📏 The 30-Second Rule. ✅ If someone on your team cannot find a critical document or tool in 30 seconds, your system has failed. ✅ The goal is intuitive access for everyone, not just the person who organized it. To keep this discipline alive, you have to build a standard. That is why I rely heavily on the Service Industry 5S Audit Checklist you see below. It keeps the chaos from creeping back in. But simply holding a checklist does not make you Lean. If you want to start auditing your own space, remember these golden rules: 🛠️ Fix the system, never blame the person: If a desk is constantly messy, your storage process is broken. 🤝 Audit through conversation: Do not become the office police. Ask your team what is physically slowing them down. 📈 Focus on consistency: A quick ten-minute weekly check builds a culture of excellence much faster than a massive annual deep clean. It’s lack of structure. 🎯 The Power of Routine Most people wake up and negotiate with themselves: “Should I work out today?” “Maybe I’ll start that task later…” “Let me just check my phone first…” That negotiation? It drains willpower. And over time, it kills momentum. But people with a solid routine? They don’t decide daily. They execute daily. Because when it’s scheduled, it’s real. 🧩 Structure Creates Freedom It sounds counterintuitive, but it’s true: The more structured your day is, the more control you have. Structure = ✔️ Knowing what to focus on ✔️ Reducing decision fatigue ✔️ Prioritizing what matters And ironically, it gives you more space— More time for creativity, fitness, relationships, peace. When your day has a framework, you’re not trapped… You’re liberated. 🛠️ Design Your Day in 3 Simple Steps: 1️⃣ Start with a power hour Whether it’s reading, meditating, stretching, or creating— The first hour of your day sets the tone for everything else. 2️⃣ Time-block your tasks Don’t just list to-dos. Assign them a time. 10 AM – Deep work 1 PM – Calls/emails 6 PM – Gym Give your tasks a home in your calendar. 3️⃣ Build non-negotiables Set habits that are mandatory, not optional. Even when life gets busy, these pillars keep you grounded. ⚡ The Bottom Line? Don’t leave your day to chance. Design it with intention. Otherwise, the world will fill your time with its priorities. • Every scroll • Every ping • Every random request Will rob you of focus, clarity, and progress. So ask yourself: Are you designing your day? Or is your day designing you? Because in the end, routine isn’t a cage. It’s a system for greatness.

If you fill it with “sand” (unimportant tasks), there’s no room for the “rocks” (your biggest priorities). What's one important goal you've been putting off? Now ask yourself: What would I want to be celebrating 12 months from now? Learn to guide your focus and what's important. ✅ O — Optimize Your Environment A cluttered space = a cluttered mind. Whether it’s your desk or your digital workspace, set yourself up for success by learning how to remove distractions and clear away digital clutter. ✅ C — Commit to Deep Work When you focus deeply on specific projects or tasks and learn to get into a flow state in minutes, you produce extraordinary work. You end up working less but achieve more in less time. ✅ U — Unplug and Recharge Rest is productive. Regular breaks and sufficient rest keep you performing at your best for the long haul. Choose to play in the infinite game and enjoying the process. Invest time to stay mindful and resilient through the good and bad days. ✅ S — Simplify and Reflect Clear the clutter—both in your schedule and your mind. Take time weekly to review strategically what’s working, what’s not, and where you can simplify.
