Help Nonprofit Clients Navigate the Most Consequential Phase of Their Grant

Nonprofit Security Advisors (NPSA) is a rapidly growing national consulting firm serving churches, Christian schools, and nonprofit organizations across the United States. We help clients win Nonprofit Security Grant funding, both federal and state, and then guide them through everything that happens next: coming into compliance with state and federal grant requirements, and carrying out their approved security improvements for reimbursement. We're looking for a builder, someone excited to bring order, accuracy, and genuine care to clients going through a process that really matters to them.


Your Mission

You'll support our Director of Project Management across two phases of client work: compliance, which every client goes through, from the day they win their grant to the day they're approved to begin spending funds, and implementation, which continues through full project completion and grant closeout for roughly a third of clients who qualify. This is an entry-level coordinator role: you'll follow an established process, track progress, prepare documentation, and flag issues as they arise. 


Key Responsibilities

• Keep client files and communications organized in our shared folders, so everything is accurate, complete, and easy to find throughout the process.

• Recognize which documents, state guidance, training materials, and other reference content are worth keeping, and keep them organized and filed so the team always has somewhere reliable to look when a question comes up.

Compliance Phase (All Clients)

• Coordinate a caseload of grant-awarded clients through the compliance phase, from the day they win their grant to the day they're cleared to start spending it, starting at approximately 25 to 50 clients and growing to up to 100 as our client base expands over the course of the first year.

• Serve as the client's point of contact with their State Administering Agency (SAA), the state office that oversees their grant, scheduling and attending required trainings, answering questions on the client's behalf, and getting them set up on state portals.

• Track each client's Environmental and Historical Preservation (EHP) clearance, a required review of environmental and historic-site impact, and help them prepare documentation that meets state and federal guidelines.

• Maintain accurate, up-to-date client records in Salesforce CRM, and use Asana to track and report on each client's tasks, progress, and milestones.

• Help maintain the Compliance Operations Manual, our internal process guide, and flag opportunities to improve compliance processes and tools.

Implementation Phase (Roughly One-Third of Clients)

• Help clients write up the scope of work and put together Requests for Proposals (RFPs) for sending to contractors.

• Walk clients through the competitive procurement process for their purchase size: formal bidding for purchases of $10,000 or more, and streamlined micro-purchase procedures below that threshold.

• Support procurement review and vendor selection, and prepare a vendor selection memo documenting the decision for the client's file.

• Continue serving as the client's point of contact with the SAA for questions about process, forms, or required steps.

• Help clients submit their quarterly reports and reimbursement requests, and keep the Director of Project Management updated on how each account is doing.

• Help clients get their files ready in case of an audit, and put together their final paperwork to close out the grant.

• Escalate scope, budget, or vendor decisions to the client and to the Director of Project Management when needed.


What We're Looking For

Bachelor's degree preferred, but not required for the right candidate. No prior experience in grants, compliance, or the nonprofit sector is necessary; that knowledge is built on the job. What matters more is customer service experience and some experience coordinating a project or process; someone who follows an established process closely but also has the judgment to notice when something isn't working and flag it for adjustment. Because requirements vary from state to state, this role also calls for the ability to navigate detailed guidelines: knowing where to look for an answer, and when to check with the state agency rather than guess. Attention to detail, curiosity, and work ethic are essential, along with genuine care for the clients you'll be supporting. We prefer candidates who have experience working in a local church or Christian school, either as staff or a volunteer.
