    If your vendor list lives in one place and your work orders live somewhere else, you’re probably spending too much time reconstructing context. That’s one of the biggest things I’ve learned building operational systems for property management. At Project Preservation, I don’t think about ClickUp as just a task manager. I think about it as the system that helps us connect people, work, and operational context in one place. In this setup, Custom Fields do a lot of the heavy lifting. They help us standardize what matters across vendors, properties, and work orders — without forcing every workflow into the exact same structure. And once you add Relationships, everything gets much easier to manage. Instead of keeping contacts in one list and tasks in another, you can connect the two and create a workspace that actually reflects how the work happens. For me, that’s the real value: A clearer view across properties. Less duplicated effort. Better decisions because the right context is easier to find. What I like most is that this approach isn’t limited to property management. You can use the same thinking for CRM, client delivery, team operations, or any workflow where contacts and work need to stay connected. If you’re building systems inside ClickUp, my advice is to start simple: define the fields that need to stay consistent, tailor the rest to the workflow, and connect the records so the structure supports the work.
